Once a tenant has decided to move out or has been told to vacate a property, the space now needs to be inspected, keys collected, security deposit returned, plus needs to have a bunch of tasks to be completed.

As a landlord, a checklist will ensure that you are completing each necessary step in the tenant move-out process. It can definitely help ease the stress of tenant move-out as you are certain that all necessities are being attended to.

The items on this list should include the condition the rental property should be left in, as well as any additional move-out procedures and obligations. If your tenant provide notice that they intend to move out of your rental unit, they must submit formal letter of intent, for you as a Landlord start these actions:

  • Record basic details (Property Address, Tenant’s Name etc.).
  • Confirm move-out date.

  • The Property Inspection

Conduct a walk-through inspection of the property to document any damage as well as cleaning and general maintenance needs once the move out date has been confirmed

With this essential step, you’ll be able to evaluate what portion (if not all) of the security deposit will be paid back to the tenant once they have vacated the property.

  • Schedule an inspection date for you to evaluate the overall condition of the property by contacting the tenant.
  • Confirm the inspection date after the tenant replied to your email.
  • Gather the documents from move-in inspection so you can refer to it when evaluating the current state of the property.

While others are unique to specific rooms, keep in mind that some things need to be checked in every room such as follows:

Some troublesome tenant may leave the property in such poor condition that their security deposit cannot cover the issue. When this happens you need to file a lawsuit against them.

When the tenant vacate the property, advise clearly about where you would like them to leave/drop-off the keys. It is essential to state this in the lease agreement, along with a description of the penalty if they fail to return the keys within a certain timeframe.

Determine how much will be paid back. Unpaid rent or other charges like unpaid utility bills, damage repairs, etc. should be itemized when returning the deposit to the tenant.
